I keep all paperwork, scan in and keep a spreadsheet updated with that information. I also have a log book for C&R since I have a 03FFL.

I keep a local copy of the scans and spreadsheet but also backups to an encrypted cloud.
I do this for my own records and insurance as I have collectors insurance for my firearms, mags, optics, ammo and edge weapons.

I periodically email my updated list to myself, that way I can always access it from any device that I can access email with.

Photos, with serial numbers for insurance replacement claims. Separate file for each gun with manuals for those purchased after a certain date.
