I use DES since I am a licensed dealer per 26700 listed on the centralized list. There is no REQUIREMENT for me to retain the shipping number and I don't. Once I enter a firearm in my bound book I generally shred the invoice, shipping letter and any non necessary paperwork. Please read the penal codes listed previously.
If you shred the invoice what will you show the IRS to prove what you paid for a particular inventory item? If it was at transfer and you shred the invoice then how do you show what value you were using to calculate sales tax and prove that during an audit?

The reason I ask is that I went through an IRS audit with the past 2 years and they looked at all my invoices from distributors and all the invoices/receipt I had attached to transfer paperwork to calculate sales tax.

As far as I know, you can't and that is a major problem with the system since you don't get notification that anyone has claimed to ship something to you and it is difficult to check to see if the number actually is for a shipment to you.

i went to the cflc site, entered in the invoice number and it asks how many handguns/long guns were in the order. i lost the cflc letter for a marlin and was able to use the invoice number to get the approval number. unless i'm looking at the wrong document i'm assuming that's the number that was originally issued. i'm still learning everything so if that's not the right number i'm assuming i could call rsr and ask for it?

edit: ok i think what i'm doing is generating a new cflc approval, not looking up an old one. boy do i feel like a dumb rookie. i have yet to ship a firearm within california so i've barely logged onto this site. i'll be calling RSR tomorrow.

I think you just created a Firearm Shipment Approval number from you to you.
