    How do your inspectors want your documents ordered? Start, delivery, DROS #, 4473 number?

        Addresses change too and they really care about that even if the DMV records are up to date.

          DROS I have sorted by DROS number (hasn't been an issue)
          4473 I have sorted by the 4473 number we assign (hasn't been an issue)

          I think they can deal with any order that is close to chronological.

            We use the DROS number on the 4473 as well. Makes it much easier to retrieve a DROS/4473 when we get a call from some agency for additional information regarding buyer.

              Per the instructions on the 4473, the order can be done by chronological (by date of disposition), alphabetical (by name of purchaser) or numerical (by transaction serial number) as long as all of the completed 4473s are filed in the same manner.

              For denied/cancelled 4473s, it can be alphabetical or chronological. For some reason numerical is not an option.

              Being lazy, it seems like alphabetical would be too much work, as well numerical means you have to sort them. Chronological is the easy way. When the transaction is done, just put it in a pile or a box. Finding a 4473 for a trace is harder, but traces don't happen all that often (or shouldn't) and if you keep an electronic record, then you should be able to figure out about where it is and it will be close to numeric order, with some variation due to how quickly people pick things up. This assumes that the serial number for the 4473 is done in a manner which sorts in a chronological order. If you create a serial number of the form MMDDYYYYNNNN, then the sort order will mean that all months would be together regardless of the year, so YYYYMMDDNNNN sorts much closer to chronological.

                If you use the magstripe to capture the ID in DROS then the DL/ID doesn’t need to get copied. It gets photocopied if the magatripe doesn’t work. Also if you DROS at a gun show, when they pick up, you swipe the ID in notepad and print the info it spits out and out that in the packet. That’s outlined in the PC (I’m on my phone so I don’t have the PC for reference, I’ll try to find it later. The DOJ pointed this out to me in a webinar.

                    Yes, those are all required as part of the DROS process, and you don't have to keep them past 3 years. So, any DOJ related docs meet their demise after 3 years.
