    How can I store all my emails?

    I keep bumping against my business email providers 10gb storage capacity. I want to store every email I receive and send. This is what i am using now:

    Business computer with outlook 2013 as part of office 365. I set my web hosting/email hosting providers setting on outlook to sync. I never use my host providers webmail app.

    Is there a way to forward all emails to my outlook and not have them stored on my host providers server or whatever they use? I'm not good with all this terminology. I don't mind buying hard drives or whatever I need to store my emails. I need to be able to have relatively quick access to them so it is not for archival. I want to be able to do a search like outlook does now.

    Something simple to set up and use would be ideal.

      archive will not give you immediate access without restoring them first

      you don't need to archive, simply move them to a email folder that is on disk rather then on the server.

        Normally, yes, but it completely depends on your web mail provider. Check their 'Help' for "POP3 Access" and it will tell you how to set up your Outlook, or will tell you it's not available. Name your business email provider and someone can probably post the details.

        Note: I can't say if Office 365 affects this function .. I avoid Office 365.

              hmm... this would work but you'd have to go out and clear out the original mailbox from time to time.

              his best bet is probably to hook it up to outlook or the free Mozilla version and then create a .PST file and store them there.

                This gives you step by step instructions with pictures.

                NOTE: In step #10 I check the boxes to remove the email from the server after X days. This keeps your online box clear but give you an opportunity to view them.

                  So IMAP is not what I want then right? My whole issue is 1and1 hitting the max storage. I want all my emails easily accessed and searched on my local hard drive. I don't want any emails left on the 1and1 server.

                    You can use IMAP if you prefer. The instructions are in the same section of the help file.

                      Backup!

                      If these emails are that important, then back them up to a external drive as well as clearing your inbox.

                        Be advised PSTs can get corrupt, and many times even scanpst.exe won't fix them. I have seen PSTs become corrupt MANY times...

                        I understand there are better scanners than scanpst.exe, but I never wanted to spend money on the issue (nor did my work, when it happened to others there).

                            IMAP would not work. That was the original configuration. I changed to POP and it took 2 hours to reload all my emails btu now I can search them all on my local computer. Now I have to see if 1and1 is clearing out the old emails.

                              If using Windows Live Mail or Outlook it's already stored on your hard drive.
                              Go your mail, click on tools > options > advanced > maintenance >
                              store file. A small window will pop up telling you where the storage
                              is kept. Go there and explore. I found all my mails under Verizon
                              after I accessed the Windows Live Mail folder. Verizon being my
                              server.

                              As far as contacts you can export them to a folder in Docs if using
                              MS mail.

                              You might find this helpful as well. The program is free. KLS Mail Backup.

                              KLS Mail Backup backs up email for many of the popular email clients. It also backs up profiles for popular internet programs. KLS Mail Backup is free for personal use. It's a clean, straightforward backup tool. KLS Mail Backup uses standard ZIP files to archive email, so you have direct access to the backups. Each step of the backup and restore processes employs wizard-like dialog boxes that keep the process straightforward and intuitive.

                              KLS Mail Backup does not backup POP or IMAP accounts. That means you cannot use it to backup webmail accounts like Gmail or Hotmail directly.
