My boss is looking at everyone from Bose speakers and $1500 projectors. I'm trying to convince them a chromebook, sub $100 projector sub $100 screen and some speakers / mic will get them through a board meeting. The room area is less then 1000 square feet and I just need everyone to be able to hear and see those on Zoom. Am I wrong about the tablet / chromebook option plus affordable speakers, mic, projector and screen?

Depends on the level of quality you want. You might be able to get by with that but the quality might suck. I’d do a big screen TV and a decent webcam and forget about the projector. You have to have a lot of lumens and that gets expensive. Our conference rooms are around that big and they have 2 blended $20,000 projectors and fancy cameras and all this crap. Screen size is like 8’ high by 15’ wide. We’re replacing a lot of it with 85” TVs and Logitech Rally bars with the touchscreen room controllers and Barcos. Look into the Rally bars and a big screen. It will be self contained and easy. “Just works”. You can put a NUC on there if you want more computing that runs Office or whatever if you need to share docs.My boss is looking at everyone from Bose speakers and $1500 projectors. You are completely correct. Sounds like your boss just wants to have bragging rights for fancy gear.
Any iPhone, Samsung phone, iPad, etc. will work fine.
If you want fancy, get everyone a new 600 dollar laptop and stick a $100 camera on it.

Cisco SX-20 telepresence systems are cheap on ebay. Around $100- $350 or much less, with two table mics and the remotes and codec box. If you already have a TV you are set.
You need no computer with those, they can connect to Zoom directly, though you may need to pay Zoom for a room connector (SIP) - I can't remember if they still require that
They sold for $5k - $7k when new
I have deployed a bunch of those in conference rooms and they have been working out fine for years. They went end of sale in 2020 and end of support in 2025
There is also an SX10 model which is even cheaper and the codec is integral to the camera, which is even easier to deploy if you just need a single camera angle (it still has pan and zoom). They were $3k when new, probably $50 on ebay now

What nobody is asking is how often is this going to be used? If it's used daily, your option is kind of garbage. Buy the right gear that will work well and last.Comment

Building is 1500 sq feet. Conference area is a third of that or maybe 16x30. It is well lit, and has great internet and WiFi connectivity. The typical meeting is of 15 people with ten in the room and 5 online using zoom. Quality only needs to be assured audio and if they can see each other (zoom vs in house) fine but there are very few digital presentations during these meetings. In total maybe 40-50 meetings a year including smaller committees.1. Compared to what?

Whats the budget? I saw $1500 projector but you don't get much projector for that kind of money... Plus you need a pull down screen like what you had in grade school or a built in one. Are your lights dimmable? Theres more cost.Thanks here are some answers to questions I saw.
